Fleet Vehicles
| The Physical Plant
maintains a University vehicle fleet consisting of
14 vehicles. These vehicles are used by faculty and
staff for University business. |

WHO CAN CHECK OUT A VEHICLE? |
| If you are an
employee of The W and you have a current valid
driver's license, you may check out a vehicle.
Before you can check
out a vehicle, your driver's license has to be
checked by Security to make sure everything is
current. If you have not already checked out a
vehicle and plan to do so at some point in the
future, please send a copy of your driver's license
to Monica Ritchie at the Facilities Management
office (W-1611). Failure to do this may cause delay
in picking up your vehicle. |

HOW CAN I CHECK OUT A VEHICLE? |
The following
procedure outlines how to check out a fleet vehicle:
- Complete a
University Vehicle Request Form. You can pick
this form up from your division office or call
the Resource Management office for a copy.
The destination, dates, account number and your
department head's signature are required to
request a vehicle. A vehicle will not be
assigned without all of this information.

- Your request
must be submitted at least ten (10) days prior
to the day the vehicle is needed.

- If a vehicle is
not available, you will receive a memo denying
your request.
|
- If a vehicle is
available, you will receive a memo confirming
your request.
|
- If your request
has been approved, you will need to pick up your
vehicle at the Physical Plant office. Vehicle
packets may be picked up between
7:30 AM and
4:00 PM Monday through Friday. We
will not release a University vehicle before
7:30 AM or
after
4:00 PM. The vehicle does not have
to be picked up between these times, only your
vehicle packet which contains the keys and
paperwork. If for some reason you cannot pick
up your packet during the designated hours, call
the Facilities Management office and alternative
arrangements will be made.

- If a group is
using the University vehicle, the faculty/staff
member requesting the vehicle must accompany the
group using the University vehicle.
|
- The
faculty/staff member accompanying the group
using the University vehicle must personally
pick up and return the vehicle and vehicle
packet at the Physical Plant office.
|
- Unless notified
otherwise, the vehicle will be parked on the
east side of the Physical plant offices
(apartment side).
|
- Notify the
Facilities Management office immediately should
you desire to cancel your reservation. This
will make the vehicle available for other
employees.

- Your reservation
is not valid without a signed confirmation from
the Facilities Management office. If you submit
a request and do not receive a
confirmation/denial form within two working
days, call the Facilities Management office.

Departments will be charged the following rates: |

Individuals will be reimbursed at the following

| Personal
vehicle is used when University vehicle is available |

| The following
actions may result in additional charges: |
- Failure to
return the vehicle packet promptly
|
- Failure to
notify the Facilities Management office of a
vehicle cancellation
|
- If the vehicle
is brought back unnecessarily dirty or misused.
