06/10/03 Administrative Council Meeting Minutes

In attendance: Dr. Claudia Limbert, Dr. Sheila Adams, Nora Miller, Perry Sansing, Dr. Gail
Stephens, Dr. Mark Bean, Mary Margaret Roberts, Patsy McDaniel, Anika Perkins, Scott
Rawles, Dr. Barbara Hunt, Cay Lollar, Terri Heath, and Rose Mary Dill

Absent: Cynthia Hembree and Sherry Honsinger

The meeting began with approval of the 05/13/03 minutes.

General Update:

Perry Sansing stated that the campus has been getting calls about The W turning down having a
movie filmed here on campus. This same film crew approached Ole Miss, and the filming turned
out to be about other issues than what was first presented. Ole Miss did not want them to film
there.

Nora Miller asked about the handling of policies that needed to be expedited for SACS, and what
amount of time would be reasonable for review and comments. Feedback was needed on the
policy about the allocation of the use of information technology resources as soon as possible. A
one week turnaround was suggested.

Nora said that the recent campus budget hearings went well. The funds from athletics are in the
process of being reallocated to student life. Once IHL approves the budget, Nora will generate a
report that will show the athletic money allocation.

The Campus Master Plan has been put on The W website. Architecture South will be here in
about two weeks to go over the plan.

Nora attended a MEMA conference that included Mayor Rupp, Joey Hudnall, and others from
Lowndes County. They were asked to give a report on lessons learned from the November
tornado, and Nora presented on The W's efforts.

Dr. Gail Stephens mentioned that summer orientation will begin on 6/20, and that Joe Lowder,
Director of Student Involvement, is on an extended leave of absence. Dr. Stephens asked if Dr.
Bean could clarify the procedure for submitting annual reports from each area.

Dr. Mark Bean said that each report should be sent to that area supervisor for approval then on to
Institutional Research. The annual report for each area is linked to the Institutional Effectiveness
Report (IER). A planning calendar should be a key component. The budget should also be
linked to planning. Dr. Bean mentioned that five SACS responses have been submitted and there
are five extensions. Perry remarked that Dr. Sullivan plans to come back to the W for another
visit.

Dr. Barbara Hunt handed out a list of the new Faculty Senate members. She spoke about
Summer Discovery. 160 boys and girls from K- 6 are attending.

Dr. Limbert welcomed Dr. Sheila Adams in her new role as Interim Provost and Vice President
for Academic Affairs.

Dr. Adams said that she is currently working on a smooth transition and may be contacting
members of the Council regarding SACS.

Patsy McDaniel updated the Council on recent awards received by some of our alums. Patsy also
mentioned the Mississippi Day in Central Park on June 13 and 14, the Inter-Alumni Council
meeting at IHL on June 12, and the Pine Belt Chapter meeting on July 10.

Anika Perkins commented that Dawn French's last day would be Friday. The Marketing
Committee recently met, and another meeting is scheduled to finalize some new marketing plans.
Our rating improved in the recent Kiplinger's News, The W advanced from #69 to #67.

Scott Rawles said that they are putting together an integrated marketing plan for IHL. Dr.
Potter's plan is to market the eight universities together.

Terri Heath spoke about freshman and transfer students orientation in June. The Admissions
Office is also working on calling applicants that have not preregistered. Terri mentioned the
recent alumni meeting that the counselors attended, and her preparation of a faculty and staff
recruitment guide. The IHL Counselor Update has been scheduled for September23. Terri
suggested a poster for high school counselors' office walls that list the requirements for a 4-year
university. Students still tend to attend community colleges because of lower costs and because
of some of their technical programs.

Mary Margaret Roberts mentioned that the last annual fund mailer for the fiscal year has been
sent to the printer. Marjorie Vollenweider is sending a memo to all departments asking for
information on buildings, rooms or other areas that are already named, or that can be named in
someone's honor. There will be additional Raiser's Edge training in August. Mary Margaret
announced a special thanks to Dr. Adams for her work with Baptist Memorial Hospital in
attaining additional scholarships for nursing.

Dr. Limbert spoke about forming a search committee for the provost position. The committee
will work with Melanie to develop an ad. Dr. Limbert asked for suggestions for both members
and for a chair for the search committee.

The next Administrative Council meeting will be on July 8.
