01/22/03 Administrative Council Meeting Minutes

In attendance: Dr. Claudia Limbert, Nora Miller, Perry Sansing, Dr. Gail Stephens, Terri Heath,
Mary Margaret Roberts, Patsy McDaniel, Scott Rawles, Sherry Honsinger, Dr. Jo Spearman,
Phillip Cockrell, and Rose Mary Dill

Absent: Dr. Mark Bean, Dr. Vagn Hansen, and Anika Perkins

The meeting began with approval of the minutes from 12/11/02.

Cay Lollar gave a report from the Commencement Committee meeting on January 9. They
agreed on one annual date for ceremonies in May which would include December, May and
August graduates. The Business, Nursing, Science and Math, and Culinary Arts students would
graduate May 10 at 10:00 a.m. The graduating students in Education, Fine Arts, Humanities and
Health and Kinesiology would graduate at 2:00 p.m. on the same day. Mag Chain and the Nurses
Pinning Ceremony would take place on May 9. Students would still receive four tickets.
A motion was made by Perry Sansing to vote on this plan, and it was unanimously approved by
the council.

A scheduling conflict about the current meeting time for Administrative Council was discussed.
It was agreed that a better time to meet would be the 2nd and 4th Tuesday of the month at 8:30
a.m. The next meeting will be on February 11 in the Welty Board Room.

Dr. Limbert noted that Fannie Flagg had agreed to write the inside cover of the Alumni
cookbook. Patsy McDaniel said that the photo shoots for the cookbook have been completed.

Dr. Limbert referred to a letter that she had received from the American Red Cross thanking The
W for the help we gave after the tornado. She also thanked Dr. Gail Stephens and her staff for
the many hours they worked relocating and taking care of the students.

Nora Miller spoke about the House Bill for Education that the Governor will be signing. She
also commented on some of the repairs that are taking place on campus, as well as the campus
Master Plan. She is working with Architecture South on this plan and has asked personnel from
campus areas for input. Nora handed out information on revenue and expenses for 7/1/02-
12/31/02. She also distributed a copy of the 5-year faculty/staff computer replacement plan and
the 4-year computer lab replacement plan.

Summer campus were discussed, and Nora Miller is meeting with Dr. Joe Portera today to work
out a plan to use the MSMS gym.

Patsy McDaniel remarked that the Alumni Board will be on campus on Friday, February 7 and
Saturday, February 8. She also mentioned that the Town & Tower Prayer Breakfast will take
place on February 6, at 7:30 a.m. in Hogarth.

Phillip Cockrell talked about how the eight student bodies from the IHL institutions are working
on representation at IHL. He also spoke about going to the Capitol to lobby in February and
March for funding for education and for no tuition increase. He mentioned the SGA Forum that
takes place on January 23, and 100th Night on February 6.

Terri Heath spoke about the Hearin Leadership Conference. 269 student will be coming to The
W for this event. This event has grown so much that more space is needed to accommodate
students. Terri also mentioned McDevitt's Scholars Day on February 15 and the interviewing of
students for the WREPS recruitment group. The Admissions mailout to Alums requesting names
of perspective students has been positive. ACT scores submitted so far are up 12%.

Dr. Gail Stephens mentioned that the Miss W pageant will take place on February 7, and that
February is Black History Month. She also spoke about the summer remedial program and the
small number of students who stay in the dorms during the summer session. Dr. Stephens talked
about a mentoring program that is being started with Juniors and Seniors to address the needs of
African-American incoming students and help improve retention.

Dr. Jo Spearman mentioned that 73% of the athletes had a 3.0 or higher accumulative average in
the fall. H&K is doing fine with their new space in Reneau.

Scott Rawles spoke about filling open staff positions in Development, restructuring the
organization and moving the Development Office, and the preparation being done for his first
Foundation Board Meeting. His office is also undertaking a comprehensive review of the donor
base. Sandra Darnell, the new Administrative Assistant, will be starting in February, and Tina
Davis will be leaving on January 31. He mentioned the Art & Science groups presentation to the
Alumni and Foundation Boards on February 7.

Dr. Limbert spoke briefly about the success of the Town & Tower Legislative Gathering in
Jackson.

Sherry Honsinger said that the next Staff Council Meeting will be Tomorrow, January 23.
